Use case 03 · Intelligent websites & dashboards

An intelligent store and dashboard for a luxury Emirati abaya brand

A local Emirati luxury brand of black and coloured abayas was taking every order by hand through Instagram messages. It needed to sell online in Arabic and English, and to see the whole business in one place.

01 / Before

The challenge

Every order ran through Instagram. Customers sent direct messages asking about designs, colours, sizes, fabrics and delivery, and the team answered each one by hand, agreed the order in the chat, confirmed payment separately and kept track of everything themselves. Messages arrived at all hours, replies were slow, and orders were easy to lose in long conversation threads.

What made this harder: nothing was connected. Orders lived in Instagram chats, payments with the payment provider, and invoices and stock in separate records, so a simple question such as “what did we sell this week, and what is still unpaid?” meant going through each one. And every answer had to work in both Arabic and English.

02 / How we worked

Our approach

We started by learning how the brand actually sold on Instagram: the questions customers ask most, how an order was agreed in the chat, how payment was confirmed and who prepared each order. That gave us the FAQ, product information and order steps to build around.

We then built an online store with an AI assistant that answers from the brand’s own information, builds the order with the customer inside the chat, and completes payment and checkout in the same conversation, in Arabic or English. Behind it, we connected the store, the assistant, payments, billing, inventory, customer records and deliveries into one dashboard that updates automatically, so every order can be followed from placed to paid to delivered.

03 / AI layer

Our AI engine layer

This is how we set up AI: it does the routine work, and people stay in control of the decisions that matter.

On top of the store and the dashboard we added our AI engine layer. We set it up around how the brand already worked: its collections, its tone with customers, its delivery and return rules, and the points where the owner wants to decide.

Handles the routine

  • Answering questions about designs, colours, sizes, fabrics and delivery, in Arabic or English
  • Building the order with the customer and taking payment at checkout
  • Updating stock, invoices and the dashboard after every sale
  • Sending order confirmations and delivery updates

Waits for approval

  • Custom requests, such as made-to-measure sizes or special embroidery
  • Refunds, exchanges and discounts
  • Any order the assistant is unsure about
  • Replies to complaints

Every request that waits for approval reaches the right person with the full conversation, and the customer is told someone will follow up. After launch we reviewed conversations and exceptions with the team and refined how the engine answers and when it hands over, until it behaved the way the brand needed.

04 / After

Outcomes & impact

Orders no longer depend on someone answering Instagram messages. Customers get an answer, place an order and pay at any hour, and the owner sees the whole business on one screen.

What it makes possible: orders and payments taken around the clock, answers in the customer’s own language, unpaid orders followed up sooner, stock reordered before it runs out, and a team that spends its time preparing orders instead of retyping replies.

The brand has moved from chat threads to connected systems: the store takes the order, and the dashboard shows what it means for the business.

05 / The bigger picture

Why this matters

Many brands start on Instagram, and it works until it doesn’t. Once orders grow, the inbox becomes the bottleneck and the business becomes impossible to see.

Our job was to take ordering out of the inbox without losing the personal service customers expect, and to give the owner one clear view of the business, in both of the languages their customers use.

Brands that grow online aren’t the ones with the biggest teams. They’re the ones whose customers can buy the moment they’re ready, and whose owners can see what is happening.
